Three states, one accounting system
| State | Meaning |
|---|---|
| Available | Spendable units under the eventual grant and expiry rules. |
| Reserved | A hold for an approved operation; not a second spendable balance. |
| Used | Confirmed billable work recorded in the ledger. |
Review a production cost
- Inspect the exact draft version and selected production operations.
- Check the itemized quote, including finishing and any retry scope.
- Approve only the intended work and maximum spend.
- After production, inspect the actual settlement and retained outputs.
An illustrative ledger movement
The real settlement rules depend on actual provider outcomes and the finalized billing policy. This example does not promise a release or refund for every failed operation.
Before approval: 100 available, 0 reserved Approved hold of 20: 80 available, 20 reserved If 18 units settle and 2 are released: 82 available, 0 reserved, 18 used Illustrative units only—not a plan allowance or a provider price.
If the balance looks wrong
| Situation | Next step |
|---|---|
| Job status unknown | Reconcile the existing hold before repeating the operation. |
| Quote changed | Review the new scope and cost; old approval is not reusable. |
| Allowance, rollover or expiry | Check the final plan terms. These decisions remain open in the wireframe. |
Ask about a ledger entry
